Bookkeeper Agent
Categorizes your transactions daily and flags anything that looks off.
Powered byClaude 3.5 Sonnet
What It Does
Your bookkeeper agent connects to QuickBooks and reviews your transactions every day. It catches uncategorized expenses, spots anything that looks unusual (like a duplicate charge or an unexpectedly large bill), and gives you a weekly P&L snapshot — so your books stay clean without you needing to touch QuickBooks daily.
What It Does Every Day
1.
Pulls all new transactions from the past 24 hours
2.
Flags any transactions still uncategorized or sitting in 'Uncategorized Expense'
3.
Checks for duplicate charges (same vendor, same amount, within 7 days)
4.
Flags any single transaction above your alert threshold (default: $500)
5.
Compares weekly spend by category to the prior week — alerts on 20%+ swings
What Lands in Your Inbox Each Morning
✓Count of uncategorized transactions that need your attention
✓Any anomalies: duplicates, unusually large charges, new vendors you haven't paid before
✓Weekly P&L summary (sent Mondays): revenue, expenses by category, net income
What It Needs From You
QuickBooks Online
This uses OAuth — you click 'Connect with QuickBooks' and authorize read access. No API key needed. Works with QuickBooks Simple Start, Essentials, and Plus.
Slack (optional)
Where alerts land. Available in your portal too.
What It Does NOT Do
×Does not automatically categorize transactions on your behalf — it flags what needs review and recommends categories, but you make the final call
×Does not file taxes or prepare tax documents
×Does not pay bills or send invoices
×Does not work with QuickBooks Desktop — only QuickBooks Online
Common Questions
Can it actually categorize transactions, or just flag them?
It recommends categories based on vendor name and transaction history (e.g., 'Stripe fee → Merchant Fees'). You approve the categorization. Future versions will auto-categorize with a confidence threshold — coming soon.
My accountant manages QuickBooks. Do I need to tell them?
Worth mentioning. The agent only has read access — it can't change anything. Your accountant's workflow is unaffected. Some clients share the daily summary with their accountant directly.
What's the alert threshold for large charges?
Default is $500. You can adjust this in your portal after launch.
I'm a sole proprietor with simple books. Is this overkill?
No — simpler books means faster review. The agent runs in under a minute and gives you confidence your books are clean without spending an hour in QuickBooks each week.
